ProgramsAdministration Fundraising Youth Appreciation Presentation Event (annual) Develop a program and dinner with guest speaker to recognize youth who help in the Brooklin Community. (annual event) Advertise and promote the event including photographer (2 hours) Purchase meal, book hall, set tables (4 hours) Purchase awards, book speaker, make up certificates (3 hours) Clean up hall and dishes, two volunteers (2 hours) Kite Day Committee (annual) This event is held once per year (in October) to provide an opportunity for children and their parents an opportunity to get outside and enjoy the fall weather while engaging in a fun and easy activity. Provide advertising for the event (1 hour) Purchase kits and refreshment items (2 hours) Set up a BBQ to offer hot dogs and cold beverages for the participants (3 hours) Assemble kits and assist children and their parent to get them in the air (2 hours) Clean up the site (park grounds) (.5 hours) Write up a Community Project Awards entry including photos and press releases (2 hours) Respect for Law (annual) Organize an event to honour someone in the community who exemplifies “respect for law” usually a dinner meeting. Arrange hosting venue and meal (2 hours) Invite members of the community to participate (2 hours) Purchase awards, book speaker, make up certificates (3 hours) Clean up hall and dishes, two volunteers (2 hours) Boy’s Senior Basketball (ongoing) Regular weekly sessions at Winchester PS 8:00 – 10:10 Tuesdays throughout the school year Organize and conduct practice drills (2 hours weekly) Youth Dance Committee (ongoing) Friday evening events held on the second and forth Fridays throughout the school year. Professional DJ. Target children in grades 5-8 Printing of tickets and schedules (2 hours) Purchasing of snacks and pop (2 hours bi-monthly) Provide float, prepare bank deposit & deposit money at CIBC, prepare event financial sheet (2.5 hours bi-monthly) Coordinate volunteers to chaperone (.5 hours bi-monthly) Book police or security and DJ (2 hours twice a year) Chaperone at events (3 hours bi-weekly) School Liaison – High Schools (ongoing) Make contact with school personnel to see where Optimist can help the kids with opportunities (Two high schools: All Saints Catholic High School, Donald A Wilson Secondary School) Correspond with school contacts by mail and email monthly (.5 hours monthly) Travel to schools to meet with staff and students on items that arise (3 hours monthly) School Liaison – Elementary Schools (ongoing) Make contact with school personnel to see where Optimist can help the kids with opportunities (Five elementary schools: Brooklin Village PS, Winchester PS, Meadowcrest PS, St. Leo Catholic School, St. Bernadette Catholic School) Correspond with school contacts by mail and email monthly (.5 hours monthly) Travel to schools to meet with staff and students to increase our visibility and make them aware we are there to help on items that arise (3 hours monthly) Youth Clubs (ongoing) Regular weekly meetings for children (three age categories) Youth learn leadership, community service and fundraising while having fun activities Supervise activities, help develop program, teach leadership skills and about the Junior Optimist/Octagon International programs. (2 hours weekly) Help organize events (2 hours weekly) Escort youth to regional and international conferences (4 times per year, 1 day each) Summer Day Camp Summer outdoors camp at local park 8:45 – 4:15 daily for 9 weeks Advertise and hire staff members (February – May) (24 hours as time permits) Apply for grants or wage subsidies (March) (4 hours) Set budget, monitor costs, deposit proceeds, collect outstanding amounts (2 hours per month throughout the years, 2 hours per week in summer) Prepare advertising materials, news releases, print registration forms and sent to qualified returnees, supply forms to schools and local shops. (January – May) (2 hours per week) Public Relations and Newsletter (ongoing) Compose quarterly community newsletter to be published and mailed/delivered to residents (2 hours monthly) Write press releases and sent to newspaper monthly (2 hours monthly) Write email newsletter to share with membership and other Optimist Clubs in Central Ontario (2 hours monthly) Membership Committee (ongoing) Help to organize membership recruitment events year round as well as through the periodic NOW “New Optimist Welcome program by Optimist International. Provide forms to members to encourage them to recruit others (.25 hours monthly) Head team to run N.O.W. Program (2 hours) Send invitations to prospects and follow up (1. hour monthly) Conduct orientations to welcome new members and help them get involved (periodic) Guest Speaker Chair (ongoing) Solicit ideas for guest speakers and source them out for dinner meetings. Correspond with the guest speakers with regard to member desires Host guests while at meetings.
